Privacy Policy

Scope of This Policy

This Privacy Policy applies to the website operated by Believe in Bttr. LLC and to the personal information we handle in the course of providing computer integrated systems design services. It describes the categories of information we collect, the reasons we collect them, the parties with whom we share them, and the controls available to you. It applies to visitors, prospective clients, active clients, and anyone who communicates with our studio by email, telephone, or web form.

This Policy does not apply to third party websites or platforms that we do not control, even when we link to them or integrate with them on behalf of a client. It also does not govern the internal systems of our clients, where the client remains responsible for privacy compliance. Where we act as a processor for a client, the client privacy terms and our service agreement govern that processing, and this Policy applies only to our own role as a business.

We wrote this Policy in plain language on purpose. If a term is defined in an agreement you signed with us, that definition governs for that agreement. Everywhere else, the ordinary meaning of the words applies, and we avoid importing legal shorthand that would obscure what we actually do.

Who We Are

Believe in Bttr. LLC is a limited liability company organized in the United States and engaged in computer systems design and related professional, scientific, and technical services. Our principal place of business is 3986 Voelker Ct, Park City - 84098-6532, United States (US). For the purposes of applicable data protection law, Believe in Bttr. LLC is the controller of personal information described in this Policy, meaning we determine why and how that information is processed.

Our work involves designing and integrating computer systems for clients. In that role we sometimes handle information belonging to a client and its customers. When we do so at the direction of a client, we act as a service provider or processor, and the client is the controller. We encourage you to read the privacy notices of the businesses you deal with, because they, not we, define how your data is used in their systems.

You can reach our privacy contact using the details at the end of this Policy. We respond to privacy questions during our normal business hours and we aim to answer every enquiry within a reasonable period.

Information We Collect

We collect information in three broad ways: information you give us directly, information gathered automatically as you use our website, and information we receive from clients or service partners in the course of an engagement. We limit collection to what is reasonably necessary for the purpose at hand, and we do not gather sensitive categories of personal information unless a specific engagement requires it and the law permits it.

The categories we may handle include contact details such as name, business email address, telephone number and postal address; business information such as company name, role and the nature of a technical problem you describe; correspondence content such as the text of emails and messages you send us; and technical information such as device type, browser type, and the pages you visit on our site.

We do not intentionally collect information about your health, your precise location, your political or religious beliefs, or your biometric identifiers. If any engagement would require handling such information, we would agree the safeguards in writing before any such data is transferred to us.

Information You Provide Directly

You provide information directly when you complete our contact form, send us an email, call our studio, or correspond with us during a project. The contact form asks for your name, your email address, a subject line, and the content of your message. We use those details solely to understand your request and to reply, and to keep a record of the correspondence so that our promises match our delivery.

When you engage us for services, you may provide additional business information, technical documentation, system descriptions, and access instructions. We treat engagement information as confidential and restrict it to the people who need it to perform the work. Where you send us material that contains personal information about other people, you confirm that you have the right to share it with us and that we may use it to perform the engagement.

You are never required to provide more than is needed. If a field is optional we do not penalize you for leaving it blank, and if you prefer to reach us by telephone instead of a form, that choice is always available.

Information Collected Automatically

When you visit our website, certain technical information is generated automatically by your browser and our hosting environment. This can include your internet protocol address, the date and time of your request, the pages you view, the referring page, your browser type and version, and your operating system. This information is used to serve the site reliably, to protect it against abuse, and to understand at a high level how visitors use it.

Our site is intentionally lightweight. We do not run advertising trackers on it, and we do not build profiles of visitors for marketing purposes. Server logs may be retained for a limited period for security and troubleshooting, and then discarded in the ordinary course of operations.

If we add analytics in the future, we will prefer a privacy-respecting configuration that minimizes data and avoids cross-site tracking, and we will update this Policy to describe it before any such tool is enabled.

How We Use Information

We use the information we collect to respond to your enquiries, to provide the services you request, to maintain accurate records of our engagements, to protect the security of our systems, and to comply with legal obligations. We also use correspondence records to verify that a promise made to you is a promise kept, which is central to how this studio operates.

We may use aggregated, non-identifying information to improve our website and our service descriptions. We do not sell personal information, and we do not rent it. We do not use your contact details to send you promotional messages unless you have asked to receive them, and you can withdraw that request at any time.

Where we process information to run our business, we keep the purpose narrow. A technical detail you share so that we can review your integration is used for that review, not for an unrelated mailing list. This discipline is the same one we apply when designing client systems, and it keeps our privacy practice honest.

Where data protection law requires a legal basis for processing, we rely on one or more of the following. We process information to perform a contract with you or to take steps at your request before entering a contract. We process information based on our legitimate interests in operating and improving our studio, provided those interests are not outweighed by your rights. We process information to comply with legal obligations, and we process information based on your consent where consent is the appropriate basis, such as for an optional newsletter.

Where we rely on legitimate interests, we consider the nature of the information, the impact of the processing on you, and the safeguards we can apply. Where we rely on consent, you may withdraw it at any time, and withdrawal does not affect processing carried out before the withdrawal. Where we process information to comply with the law, we retain only what the law requires and no more.

If you are unsure which basis applies to a particular activity, you can ask us and we will explain it in plain terms.

Cookies and Similar Technologies

Our website uses only minimal technical storage. Essential cookies or local storage may be used to remember basic interface preferences and to protect the site against misuse. These are necessary for the site to function correctly, and they do not track you across other websites.

We do not use advertising cookies, and we do not permit third parties to set tracking cookies through our site. If you block cookies in your browser, the core content of our site will remain available, because we do not gate essential information behind a consent wall.

Should we introduce a feature that requires additional storage, we will describe it in this Policy and, where required, ask for your choice before the feature activates.

How We Share Information

We share personal information only in limited circumstances. We share it with service providers who help us operate, such as email, hosting and accounting providers, and only to the extent they need it to perform their function for us. We share it when you ask us to, for example when we coordinate with a vendor on your behalf. We share it when the law requires, such as in response to a valid legal request, and we share it to protect rights, safety and property where necessary.

If we are involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction. In that event we would require the recipient to honor this Policy, and we would provide notice of any material change.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. If that ever changed, we would say so clearly and provide an opt-out before any such sharing began.

Service Providers and Processors

Our service providers act on our instructions and are bound by contracts that limit their use of personal information to the services they provide to us. These providers include web hosting, email delivery, file storage, and professional advisors such as accountants and lawyers. We select providers with care, and we expect them to maintain reasonable security practices.

Where a provider processes information outside the United States, we take steps to ensure that appropriate safeguards apply, such as contractual protections and, where relevant, recognized transfer mechanisms. We remain responsible for the information we entrust to our providers, and we act promptly if a provider fails to meet our expectations.

We do not authorize our providers to use your information for their own independent marketing.

How Long We Keep Information

We keep personal information only as long as it serves the purpose for which we collected it, plus any period required by law or needed to resolve disputes. Enquiry correspondence is typically kept while the enquiry is active and for a reasonable period afterward, so that we can pick up a conversation where it left off. Engagement records are kept for the duration of the relationship and for the period our professional obligations require.

When information is no longer needed, we delete it or render it anonymous. Where deletion is not immediately possible, for example in routine backups, we isolate the information and allow it to expire on the backup cycle. We review our retention practices periodically and reduce periods where we can.

If you would like us to delete information you provided, you may contact us and we will honor the request to the extent the law allows, explaining any retention obligation that requires us to keep something.

How We Protect Information

We apply administrative, technical and physical safeguards proportionate to the sensitivity of the information we handle. These include access controls that limit information to those who need it, encrypted connections for data in transit, secure configuration of our systems, and the practices we recommend to our own clients. We train the people who handle information and we review our measures as our operations change.

No method of transmission or storage is perfectly secure, and we cannot promise absolute security. If we become aware of a security incident that affects your personal information, we will investigate, take steps to contain it, and notify you and any relevant authority as required by law.

You can help by using a secure network when you contact us and by not sending sensitive credentials through ordinary email. If we need to exchange sensitive material during an engagement, we will propose a safer method.

International Data Transfers

Our studio is based in the United States, and we handle information in the United States. If you contact us from another country, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your home jurisdiction. We take steps to ensure that any transfer is protected by appropriate safeguards.

Where our providers store information in other countries, we rely on recognized contractual and legal mechanisms to protect it. We do not transfer information to a jurisdiction where we cannot apply reasonable safeguards, and we periodically review where our providers operate.

By contacting us or using our services, you understand that your information may be processed in the United States as described in this Policy.

Your Privacy Rights

Depending on where you live, you may have rights regarding your personal information. These can include the right to know what we collect and how we use it, the right to access a copy, the right to correct inaccurate information, the right to delete information, the right to restrict or object to certain processing, the right to data portability, and the right not to be discriminated against for exercising your rights.

To exercise a right, contact us using the details at the end of this Policy. We will verify your request, respond within the period the law allows, and explain any reason we cannot fully comply. We do not charge a fee for a reasonable request, and we do not require you to create an account to make one.

If you are an authorized agent making a request on behalf of another person, we may ask for proof of your authority. If we cannot verify a request, we will tell you what additional information we need.

Your Choices and Controls

You control how we communicate with you. You can ask us to stop sending non-essential messages, and you can ask us to delete information that we are not required to retain. You can choose to reach us by telephone instead of a form, and you can decline to provide optional details without affecting the core service.

You can also control cookies through your browser settings and control how your email client displays our messages. If a control you want is not covered here, ask us, and we will tell you what is possible.

We keep our records honest. If you correct a detail or withdraw a consent, we update our records to reflect your instruction and we confirm the change when you ask.

Privacy for Children

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children, and we do not direct our services to them. If you believe that a child has provided information to us, please contact us and we will take reasonable steps to delete it.

Where an engagement involves a client system that serves younger users, the client remains responsible for complying with the laws that protect children, and we design safeguards into the work at the direction of the client.

If we learn that we have collected information from a child without appropriate consent, we will delete it promptly.

Third Party Sites and Links

Our website may link to third party sites, and our work may involve third party platforms. We do not control those sites and we are not responsible for their privacy practices. When you follow a link away from our site, we encourage you to read the privacy notice of the destination site.

When we integrate a third party platform for a client, we do so under the client direction and subject to that platform own terms. We assess the privacy posture of platforms during our Trust Line Reviews, and we report what we find, but we do not guarantee the behavior of an external provider.

This Policy does not extend to any third party service, and any interaction you have with such a service is governed by its own terms.

Changes to This Policy

We may update this Policy from time to time to reflect changes in our practices, our services, or the law. When we make a material change, we will update the effective date above and, where appropriate, provide additional notice on our website or by email.

We encourage you to review this Policy periodically. Your continued use of our website or services after an update indicates that you accept the revised Policy. If you do not agree with a change, you may contact us to discuss your options.

We keep prior versions available on request so that you can see how our commitments have evolved, which is part of keeping an honest record.
